About the Role

As we continue to expand our firm and will be moving to a larger space located in Vivre, Langsuan, we are seeking to hire a highly motivated and professional individual to join our team as a Receptionist. We are looking for an exceptional candidate who will play a vital role in creating a positive and welcoming environment for our clients and visitors.

Responsibilities

    • Greet and welcome clients and visitors with a warm and professional demeanor.
    • Answer phone calls and direct calls to the appropriate person or department.
    • Manage incoming and outgoing mail and couriers.
    • Coordinate with internal and external messengers for document pickups and deliveries, ensuring timely and accurate handling of important legal documents.
    • Maintain a clean and organized reception area including meeting rooms.
    • Schedule and manage meeting room bookings, ensuring efficient utilization of space.
    • Coordinate with internal staff including IT and the hospitality team to ensure a smooth handling of client meetings, seminars, events and appointments.
    • Assist with administrative tasks, including filing and documentation.
    • Provide general information and assistance to clients, as required.
    • Collaborate with other team members to support office operations, when needed; and
    • Assist in other tasks as assigned by Chief Operating Officer.

Desired characteristics and capabilities

    • Fluent in English (both spoken and written) with excellent communication skills.
    • Pleasant and professional demeanor, with a strong customer service orientation.
    • Proven experience as a receptionist or in a similar customer-facing role is an added advantage.
    • Proficient in using office equipment.
    • Strong organizational and multitasking abilities.
    • Attention to detail and a high level of accuracy in all tasks.
    • Ability to handle sensitive information with the utmost confidentiality.
    • Flexibility to work occasional evenings or weekends, if required.
